Upcoming Changes to Payroll Deduction Permits for Faculty and Staff
Starting in February 2027, payroll deductions for Faculty and Staff Parking Permits will move to an advance payment schedule. Each end-of-month deduction will pay for the following month’s parking permit.
Your February 2027 transition at a glance
- Mid-February paycheque: pays for February 2027 parking.
- End-of-February paycheque: pays for March 2027 parking.
- End-of-March paycheque and onward: pays for the following month’s parking permit.
This change will allow Parking Services to identify and address payroll deduction issues sooner. It will also give permit holders the opportunity to cancel their permit before the upcoming month begins if it is no longer required.
Plan ahead: remember the 20th
Payroll parking permits will be available for purchase from the 1st to the 20th of each month, with new permits beginning on the 1st of the following month. Purchases will not be available between the 21st and the last day of the month.
Submit any cancellation request by the 20th of the month for cancellation to take effect on the 1st of the following month. Permits are non-refundable for the current month, and fees are not prorated for partial months.
Already enrolled in payroll deduction? No action is required. The new schedule will apply automatically.
Frequently Asked Questions (FAQs)
1. When does my payroll parking permit start?
All new payroll parking permits begin on the 1st day of the month following the purchase date.
For example, a permit purchased between February 1 and February 20 will become valid on March 1.
2. How do I sign up for a payroll parking permit?
Eligible Faculty and Staff can purchase a payroll parking permit online through their UBC Parking account.
Payroll parking permits are available for purchase between the 1st and 20th of each month, for permits beginning on the 1st of the following month.
3. When can I purchase a payroll parking permit?
Payroll parking permits can only be purchased between the 1st and 20th of each month.
Purchases are not available between the 21st and the last day of the month. If you miss the purchasing window, you will need to wait until the next month to purchase a payroll parking permit.
4. When can I cancel my payroll parking permit?
To cancel your payroll parking permit for the following month, you must submit your cancellation request by the 20th of the current month.
For example, if you no longer require parking starting April 1, you must submit your cancellation request by March 20.
5. What happens if I do not cancel my permit by the 20th?
If you do not submit your cancellation request by the 20th, your permit will automatically renew for the following month, and the applicable fee will be deducted from your end-of-month paycheque.
To avoid being charged for the following month, please ensure your cancellation request is submitted by the 20th.
6. Can I receive a refund if I cancel my permit during the current month?
No. Payroll parking permits are non-refundable once the permit month has started.
If you no longer require parking, you must submit your cancellation request by the 20th to prevent renewal for the following month.
7. I only need parking for part of the month. Can I receive a partial refund or pay a prorated amount?
No. Monthly payroll parking permits are not prorated, and partial refunds are not available.
If you only require parking for a portion of the month, we recommend considering a 1-Day or 7-Day Parking Permit, which may better suit your parking needs.
8. Why is UBC Parking changing the payroll deduction schedule?
The new schedule will allow Parking Services to identify and resolve payroll deduction issues sooner. It will also provide permit holders with the opportunity to cancel their parking permit before the upcoming month begins.
9. When will the new payroll deduction schedule take effect?
The transition will begin in February 2027.
- Mid-February 2027 paycheque: Deduction for February parking.
- End-of-February 2027 paycheque: Deduction for March parking.
- End-of-March 2027 paycheque: Deduction for April parking.
After the transition, parking permit fees will continue to be deducted from the end-of-month paycheque for the following month's permit.
10. Will I have two parking permit deductions in February 2027?
Yes. During the transition, there will be two parking permit deductions in February, but they will apply to different months.
The mid-February deduction will cover February parking, while the end-of-February deduction will cover March parking.
You are not being charged twice for the same month.
11. Will the amount I pay for parking change because of the new deduction schedule?
No. The change affects when parking permit fees are deducted, not the permit rate itself.
12. Do I need to take any action if I already have a payroll parking permit?
No action is required.
The new deduction schedule will automatically apply to all existing parking permit holders currently enrolled in payroll deduction.
13. Will my existing payroll parking permit continue to renew automatically?
Yes. Existing payroll parking permits will continue to renew automatically unless a cancellation request is submitted by the 20th of the month.
The only change is that payroll deductions will now be collected in advance for the following month's parking permit.
14. What happens if I miss the 20th-of-the-month purchasing deadline?
If you miss the purchasing deadline, you will need to wait until the next purchasing window, which opens on the 1st of the following month.
For example, if you miss the February 20 deadline, your next opportunity to purchase a payroll parking permit will be March 1–20, for a permit beginning April 1.
If you require parking in the meantime, you can purchase a 30-Day Parking Permit using your credit card through your parking account on the UBC Parking website. Alternatively, 1-Day and 7-Day Parking Permits are available for shorter parking needs.
15. Can I purchase a payroll parking permit that starts immediately?
No. New payroll parking permits always begin on the 1st of the following month and cannot be purchased for immediate use.
If you require parking before your payroll permit becomes valid, you can purchase a 1-Day, 7-Day, or 30-Day Parking Permit through your UBC Parking account.
16. What happens if I cancel my permit before the 20th but have already paid for the current month?
Your current month's parking permit will remain valid until the end of that month.
Your cancellation will take effect on the 1st of the following month, and no further payroll deductions will be made for future permit months.
17. Can I reactivate my payroll parking permit after cancelling it?
Once a payroll parking permit has been cancelled, it cannot be reactivated.
If you require a payroll parking permit again, you must purchase a new one during the regular purchasing window, between the 1st and 20th of the month.
The new permit will become valid on the 1st of the following month.
18. What happens if there is a problem with my payroll deduction?
The new payment schedule is designed to help Parking Services identify and address payroll deduction issues sooner.
